Job Description:

The Wireless Inventory Coordinator, under the guidance and general supervision of the Wireless Inventory Officer, maintains the operational inventory and physical control of wireless units and accessories. The Employee ensures that telephone units are ready for sale and activation, maintains an electronic inventory of new and refurbished units on hand, and prepares a daily transaction report. This position involves coordinating with various departments, including Customer Service and Enterprise Sales, determining inventory needs, coordinating procurement activities, and ensuring timely availability of wireless units. The coordinator will maintain accurate inventory records, prepare reports, coordinate distribution, and assist in managing the warranty and repair process. The Inventory Coordinator may supervise interns and temporary or lower-level staff, as assigned.

RESPONSIBILITIES:

The Employee will:

  • Uphold the established IT&E mission, policies, procedures, relevant provisions of the union agreement, IT&E, and department objectives, quality assurance, and safety programs and standards

Inventory Management:

  • Maintain inventory of handsets, MiFis/BEC Routers, tablets/iPads, extenders (WiFi/WeBoost), accessories, cell cards, SIM cards, and other relevant items.
  • Coordinate with Customer Service, Sales, and Marketing departments to determine the numbers and types of telephone units needed in the operational inventory.
  • Verify receipt of telephone units by rescanning product codes and updating the operational inventory.
  • Issue handsets, accessories, SIM cards, and cell cards to offices in Rota, Tinian, and Guam as needed
  • Receive defective telephone units from Saipan, Rota, Tinian, and Guam, provide replacements, and arrange for the shipment of defective units to vendors for repair or replacement.
  • Submit a monthly defective report, accounting for each unit in the location.
  • Receive repaired and replacement units from vendors, update receiving reports, and transfer units from the defective location to good stock.
  • Maintain and update the web-based inventory, resolving errors or problems with the inventory program.
  • Maintain the telephone display in the Customer Service showroom.
  • Keep records of wireless and SIM transfers/invoices, employee purchases, TSR issuances, donations, loaners (residential and business), defectives, online store orders, and promotion item issuances.
  • Conduct month-end preaudits and audits.
  • Conduct month-end inventory counts and submit final reports to the Accounting Department.

Communication & Support:

  • Assist Customer Service and Sales Department representatives in explaining telephone unit capabilities to customers.
  • Keep staff informed about new products, price changes, and related information through email communication.
  • Assist other staff and functional areas as needed.
  • Answer inquiries regarding count/admin sales and prepare write-off and disposal recommendations for approvals.
  • Coordinate with Marketing to update the online store inventory for handsets and accessories.
  • Coordinate with S&T department for the delivery and distribution of wireless units, SIM cards, and accessories.

System Management & Reporting:

  • Ensure inventory accuracy in the CostGuard system for reference by Call Center reps.
  • Generate daily sales and inventory count reports.
  • Prepare daily reports of inventory transactions.
  • Maintain and update the NAV and IDI systems, update records, and report errors to the system administrator.
  • Verify processed and billed units in the resource management systems (IDI Resource Management and IDI CSR).
  • Perform NAV reconciliation and submit item journals for quantity corrections.

MINIMUM QUALIFICATION REQUIREMENTS:

  • Education: High school graduate or equivalent.
  • Work Experience: Two of telecommunications customer service, clerical, accounting or inventory control or relevant work experience preferred.
  • Licensure/Certification/Professional Association: None

SPECIAL KNOWLEDGE, SKILLS & ABILITIES:

Knowledge of:

  • Basic principles and practices of office administration and communications
  • Basic customer service etiquette
  • Administrative and clerical procedures and systems such as computer operations, managing files and records, designing forms, maintaining property inventory and other office procedures and terminology.
  • Structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to perform the essential functions of this job successfully. The physical activity of this position includes climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling, grasping, feeling, talking, hearing, and repetitive motions.

The physical requirements of this position involve light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.

For visual acuity requirements including color, depth perception and field of vision, the worker is required to have visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication of parts at distances close to the eyes.

Working Conditions

The worker is subject to inside environmental conditions: Protection from weather conditions but not necessarily from temperature changes. The worker is subject to outside environmental conditions: No effective protection from weather. The worker is subject to both environmental conditions: Activities occur inside and outside. The worker is subject to extreme cold: Temperatures typically below 32 degrees for periods of more than one hour. Consideration should be given to the effect of other environmental conditions such as wind and humidity. The worker is subject to noise: There is sufficient noise to cause the worker to shout in order to be heard above the ambient noise level.
